01  The idea

## One call. One crew. _One show the whole county talks about._

Right now a spring concert takes a committee: someone chasing agents, someone pricing
staging, someone building a ticket link, someone running the night. W4 Entertainment
takes all of it. We select and book the artist, build the production, promote the
show, sell the tickets through our own site, and run the day from load-in to the
final invoice. Your team gets the credit and keeps their day jobs.

 * **Artist selection and booking.** Shortlist, offers, contracts, riders and advance,
   all handled by W4.
 * **Concert-grade production.** Stage, sound, lighting, video and crew from our
own inventory, with partners for anything bigger.
 * **Promotion and ticketing.** We act as the promoter: marketing plan, sponsors,
and ticket sales on w4entertainment.com with student, alumni and community pricing.
 * **Day-of management.** One production lead, one run of show, one point of contact
   for the College.

Farewell Festival, main stage

02  Why it matters

## More than a concert. _A tool the whole College can use._

The same night can do five jobs for Adrian College. Pick an audience to see how
we build the show around it.

### The night students talk about all year

Belonging is the strongest predictor of a student coming back in the fall. A signature
spring concert, with a real headliner, becomes a tradition students plan around,
post about and remember when they are deciding whether Adrian is home.

Student-priced tickets and an early-access window for enrolled students

Student orgs and Greek life built into the event: volunteer crews, pre-show programming,
a student opener slot

Song requests, polls and announcements through the W4 Events App so students shape
the show

Photo and video content students actually want to share

![A festival crowd reaching up toward the stage at dusk](https://w4entertainment.
com/wp-content/uploads/2026/10/Farewell-Festival-crowd-with-hands-up.jpg)

### A reason to come back to campus

Alumni return for moments, not meetings. Anchor the concert to an alumni weekend
and give graduates a VIP way in: a reserved section, a pre-show reception, and a
ticket tier that reads as a welcome home, not a fundraiser.

Alumni ticket tier with reserved viewing area and hospitality

Pre-show alumni reception on site, produced by W4

Class-year shout-outs and alumni moments in the show script

Event recap video for alumni email and social

### Hospitality donors remember

A headline concert is the easiest invitation Advancement will send all year. We
build a VIP experience for donors, trustees and corporate partners, and we sell
sponsorships that offset the budget while putting partner brands on stage, on screen
and on every ticket.

Title, stage and screen sponsorship packages sold and fulfilled by W4

Sponsor logos on tickets, video wall, banners and social

Post-event sponsor report with reach and photos

### Show prospective students what campus life feels like

Schedule the concert against an admitted-student or visit weekend and the College’s
best recruiting pitch writes itself. Prospects and their families get tickets, a
campus tour that ends at the stage, and content for Admissions that no brochure
can match.

Admitted-student ticket allotment and a visit-day package

Admissions welcome moment from the stage

Professional photo and video assets for recruiting campaigns

Social content and a highlight reel for next year’s campaign

### Adrian’s concert, hosted by Adrian College

Open a community ticket tier and the College becomes the place where Lenawee County
comes together. Downtown partners, local media and a family-friendly footprint turn
a campus event into a civic one, with Adrian College’s name on it.

Downtown Adrian partners: restaurants, lodging, shuttle and parking plan

Local media and radio partnerships handled by W4

A community moment on stage: honorees, local openers, a cause partner

03  What we handle

## Everything between the idea _and the encore._

Filter by who owns each piece. Under the full plan, the College’s list is short
on purpose.

 | Area | What happens | Owner |
  | Artist selection | Shortlist of 5 to 8 artists sized to the budget and the audience, with routing, availability and a student poll to narrow it. | W4 |
 | Artist approval | The College picks from the shortlist. One meeting, one signature. | Adrian College |
 | Offers & contracts | Offers, agent negotiation, performance agreement, deposit and settlement, insurance certificates. | W4 |
 | Rider & advance | Technical and hospitality riders fulfilled, backline, performer lounge, travel and ground. | W4 |
 | Production | Stage, PA, lighting, video wall, power, crew, barricade and site plan. Sized to the artist and the venue. | W4 |
 | Venue & date | Campus venue, date on the academic calendar, campus safety and facilities coordination. | Adrian College |
 | Promotion | Announcement, creative, social campaign, campus marketing, local media and radio, street team. | W4 |
 | Ticketing | Tickets sold on w4entertainment.com with student, alumni, community and VIP tiers; scanning and gate staff on show day. | W4 |
 | Sponsorship | Sponsor packages built, sold and fulfilled, with revenue applied to the event budget. | W4 |
 | Campus engagement | Student orgs, alumni office, Admissions and Advancement moments built into the show. | Together |
 | Day of show | Load-in, soundchecks, run of show, stage management, security coordination, load-out. | W4 |
 | Wrap-up | Settlement, sponsor report, recap video and photos, and a planning call for next year’s date. | W4 |

04  The proof

## We have already built _the largest concert in Lenawee County._

The Farewell Festival put a national headliner, Flo Rida, on a full festival stage
with a flown line array, a video wall and a crowd that filled a stadium field. Wilson
directed it as a university’s Director of Student Engagement, with W4 producing
the show. That is the playbook we bring to Adrian College: campus event planning
from the inside, concert production from the field.

 * National headliner booked, contracted and advanced
 * Festival-scale stage, sound, lighting and video
 * Student, alumni and community audiences at one event
 * Ticketing, sponsors, security and site plan handled by the same team

W4 Entertainment has produced events for AstroTurf, Rekortan, Laykold and OPmobility,
commencements for area schools, and the Ultimate Prom Series at the Adrian Armory.
Based in downtown Adrian since 2016.

05  Options

## Three ways to work together. _Tap one._

Every option uses the same crew and the same gear. The difference is how much of
the planning, risk and promotion W4 takes off the College’s plate.

Option A

### Production Partner

The College books the artist and sells tickets. W4 designs and delivers the full
production and runs the show day.

 * Stage, sound, lighting, video, power and crew
 * Site plan, advance and run of show
 * Day-of production lead and stage management
 * Load-in to load-out

**Investment: quoted after our planning call**Production only. Talent and ticketing
stay with the College.

 Recommended

Option B

### Full Concert Management

W4 takes it from artist selection to settlement. The College approves the artist
and hosts the night.

 * Everything in Option A
 * Artist shortlist, offers, contracts and rider fulfillment
 * Hospitality, performer lounge, travel and ground
 * Security and campus safety coordination, insurance certificates
 * Settlement and wrap-up report

**Investment: quoted after our planning call**Management fee plus the artist and
production budgets, approved line by line.

Option C

### Full Management + Promoter

Everything in Option B, and W4 becomes the promoter: we market the show, sell the
tickets on our site and bring in sponsors to offset the budget.

 * Everything in Option B
 * Marketing plan, creative and campaign
 * Ticketing on w4entertainment.com with student, alumni, community and VIP tiers
 * Sponsorship sales and fulfillment
 * Gate, scanning and box office on show day

**Investment: quoted after our planning call**Structured as a flat fee or a shared-
revenue model, whichever the College prefers.

**Option B selected.** The College approves the artist, hosts the night and keeps
ticket revenue. W4 handles the booking, the production and the show.

Pricing is set after a short planning call so the artist budget, venue and audience
targets are real numbers, not guesses. Every line item is approved by the College
before it is spent.

06  Campus partnership

## The more we do together, _the less each event costs._

Our crew is already on campus for the concert. Put commencement, welcome week or
homecoming on the same contract and the College gets one rate, one crew that knows
the venues, and priority on dates. Check the events you are already running to see
how the partnership grows.

 * Partner pricing when more campus events join the contract
 * Full settlement and report after the show

09  Next steps

Let’s book
the headliner.

for. Two weeks later the College has an artist shortlist in hand. From there, W4
handles the rest.

venue, budget range, audiences.

Step 2

### Shortlist and plan
